Capturing and exposing email metadata with exisiting corporate content types
How do you capture email metadata utilising exisiting enforced corporate content types? We wish to seamlessly capture emails - in the mode as documents without msg content types - and expose metadata (eg attachements etc) via views.
We have exisiting strong content standards and do notr wish to make users store emails differetnly to documents
thanks in advance

Hi Ian,
there are two available approaches:
1) Create columns with em* and then rename them to something different (as OnePlaceMail works with the internal (original) name of the column). E.g. create a field with name EmSubject, save it and then rename to "Email Topic".
2) Create columns with required names and use Column Mapping list to link original column names (em*) with newly created ones.
Please refer to the section "5.1 Custom Mapping of Email Attributes to Columns" in the Admin Guide for the details.
Hope this will help. Please update this topic if you have any questions or any assistance required. Thank you.

Great - that will work as a filter
Can I assume the email field to be added (as hidden fields to the content type) are the em------ fields as per the admin manual eg EmSubject, EmTo, EmCC, EmFrom etc
Or do we just use the natural names - thanks again

Ian,
you could use the "Email Date" field with the following filter:

As any email has a value in this field and this field is hidden (thus, empty) for other documents this method will allow you to filter only emails.
Hope this will help.

Ilia
The icon is useful however we need to develop a specific email view that is different to corporate document view - it will show the populated hidden email fields - to, from, attachments etc
We need to do this as we cannot change the corporate views just add an email view
Icon (type) is not available as a filter field.
is their another field that is populated by msg storage that we can get access to - for filtering purposes

Thank you Ian,
it's my pleasure to help you.
Emails are uploaded as .msg files with corresponding icon (opened envelope). As you can filter by icon, this should work fine for you.
Please let me know if you have any further questions, I'll be happy to assist. Thank you.

you are a superstar
so we can add the required fields (as hideen) and they will be populated by a simple drag to the document library.
just one further question - how do we develop a view to filfer by msg type - i know we can filter by icon
many thanks

Ian,
Thanks for your clarifying question.
To answer it, yes, these columns could be added as hidden.
Please refer to the Administrator Guide, page 96 for the details.
Hope this clarifies. Thank you.

Thanks Ilia - if we add the appropriate columns - eg to, from, subject, attachments, as per your requirments - can they be added hideen format so they dont appear on the load form ?
Again we cannot effect standard document entry

Hi Ian,
thank you for your question.
It's necessary to create specific email columns to capture email attributes. These columns could be added to the existing content types and deployed with them.
For the details regarding column types and creation please follow these articles:
What is the OnePlaceMail Sandbox Solution? Section "The OnePlaceMail Email Columns".
and
How do I get the features of the OnePlaceMail Sandbox Solution without deploying the solution?
Hope this will help. Please update this topic if you have any questions. Thank you.
